QuickBooks is popular small-business accounting software, mostly used today as QuickBooks Online. It does the books well for a single company. Businesses in Africa usually look further when they need stock across branches, manufacturing, local payroll, approvals, or e-invoicing set up for their tax authority.
At a glance
- What it covers
- ERPNext: accounting, stock, sales, purchasing, manufacturing, projects, HR, payroll, CRM and support in one system. QuickBooks: accounting, invoicing and basic stock, with apps for more.
- Licence
- ERPNext: no licence fee per user. QuickBooks: a subscription per company, with the number of users set by the plan.
- Payroll
- ERPNext: payroll set up for your country's deductions. QuickBooks: its payroll serves a few countries, not most of Africa.
- Branches and stock
- ERPNext: many warehouses and branches, batches and serial numbers in one live system. QuickBooks: designed for a single company with simpler stock.
- Local taxes
- We set ERPNext up for eTIMS in Kenya, EFRIS in Uganda, EBM in Rwanda, TRA's fiscal receipts in Tanzania and Smart Invoice in Zambia.
When QuickBooks is enough
A small service business with one company, few stock items and an accountant who works in QuickBooks may not need more yet.
When ERPNext is the better choice
- You track stock across shops or warehouses in spreadsheets beside QuickBooks.
- You run payroll in a separate system because QuickBooks payroll does not cover your country.
- You need approvals, purchase orders, manufacturing or a CRM.
- You have more than one company and consolidate them by hand.
Moving from QuickBooks to ERPNext
- We look at how you use QuickBooks today: companies, branches, the reports you rely on and the work done outside it in spreadsheets.
- We agree a written scope and a go-live date, and set up ERPNext for your processes, your taxes and your documents.
- We move your data from QuickBooks and you check it in a test copy before anything is final: balances, stock and open documents must match to the cent.
- Your team is trained on its own data, and we run a short parallel period where your closing figures are compared side by side.
- You go live on ERPNext. QuickBooks stays available read-only for as long as you need it for history and audits.
What moves across
- Chart of accounts and opening balances
- Customers and suppliers, with open invoices and bills
- Products and services as items, with stock balances
- Bank accounts and unreconciled transactions
- Classes and locations as cost centres
- Sales tax settings mapped to your country's taxes
Full transaction history can be moved too, but most businesses choose opening balances and open documents, with QuickBooks kept for the years before. It is faster, cheaper and avoids carrying old mistakes into the new system. Read what to clean before you migrate.
How long it takes and what it costs
A single company with simple stock usually moves in a few weeks; groups with branches, manufacturing or integrations take longer. The cost depends on your users, locations and modules, not on the system you leave. Get a price estimate in two minutes, or book a demo to see your own processes in ERPNext.
