SAP Business One is SAP's system for small and mid-sized companies, sold and implemented by SAP partners. ERPNext is built by Frappe and implemented by certified partners. Both run accounting, stock, sales, purchasing and production for companies with several branches. The questions that decide between them are cost as you grow, who can change the system, and what your group already uses.
At a glance
- Licence
- ERPNext: no licence fee per user. SAP Business One: a licence or subscription for each named user, by user type, with annual maintenance on licences.
- Changes
- ERPNext: fields, forms, workflows and reports set up from the screen by your administrator. SAP Business One: user-defined fields and queries, with larger changes made by the partner's developers.
- Hosting
- ERPNext: Frappe Cloud, our cloud or your own server. SAP Business One: on a server you or your partner run, or hosted by the partner.
- Modules
- ERPNext: accounting, stock, sales, purchasing, manufacturing, projects, HR, payroll, CRM and support in one system. SAP Business One: the core business areas, with add-ons from partners for others.
- Local taxes
- Both need setting up for your country. We set ERPNext up for eTIMS in Kenya, EFRIS in Uganda, EBM in Rwanda, TRA's fiscal receipts in Tanzania and Smart Invoice in Zambia.
When SAP is the better choice
If your parent company runs SAP and requires its subsidiaries to report on SAP, or you need SAP's own links to a group system, SAP Business One is often the practical answer. The same goes for a large enterprise already on SAP S/4HANA.
When ERPNext is the better choice
- Licence and maintenance fees take a large share of your IT budget, and grow with every user.
- Small changes to a form or report wait for a partner's developer.
- You want HR, payroll, CRM and support in the same system as your accounts.
- You want to choose where your system is hosted, including your own server.
Moving from SAP Business One to ERPNext
- We look at how you use SAP Business One today: companies, branches, the reports you rely on and the work done outside it in spreadsheets.
- We agree a written scope and a go-live date, and set up ERPNext for your processes, your taxes and your documents.
- We move your data from SAP Business One and you check it in a test copy before anything is final: balances, stock and open documents must match to the cent.
- Your team is trained on its own data, and we run a short parallel period where your closing figures are compared side by side.
- You go live on ERPNext. SAP Business One stays available read-only for as long as you need it for history and audits.
What moves across
- Chart of accounts, cost centres and the opening trial balance
- Business partners: customers, suppliers and their contacts
- Items, warehouses, batches and serial numbers, and stock balances
- Open sales and purchase documents and payments
- Bills of materials and production routings
- Price lists and discount rules
Full transaction history can be moved too, but most businesses choose opening balances and open documents, with SAP Business One kept for the years before. It is faster, cheaper and avoids carrying old mistakes into the new system. Read what to clean before you migrate.
How long it takes and what it costs
A single company with simple stock usually moves in a few weeks; groups with branches, manufacturing or integrations take longer. The cost depends on your users, locations and modules, not on the system you leave. Get a price estimate in two minutes, or book a demo to see your own processes in ERPNext.
